New Job Opportunity: Programs and Events Coordinator

The Kansas Fairgrounds Foundation (KFF) is seeking a detail-oriented and motivated Programs & Communications Coordinator to support the execution of our events, communications, and ongoing foundation operations.

This role is ideal for someone who enjoys working behind the scenes to help meaningful work run smoothly. The Coordinator will manage recurring communications, stakeholder relationships, event logistics, and internal organizational systems to ensure nothing falls through the cracks. 

The position starts with an Introductory period and has the potential to become a year-round, part-time position to support our back-end systems, communications and operations.

This is not a creative strategy role or a fundraising leadership position. It is a hands-on, execution-focused role that plays a critical part in helping our small team operate effectively year-round.

Key Responsibilities

Communications Support

  • Draft, build, and schedule the Foundation’s monthly email newsletter in Constant Contact (with leadership approval)
  • Format and distribute press releases
  • Maintain and update media, legislator and other contact lists
  • Assist with website updates as needed on WordPress, such as blog posts
  • Support sponsor recognition and benefit tracking
  • Assist with volunteer engagement and recognition programs

Event & Program Coordination

  • Assist with planning and execution of Foundation events, including Hats & Horses, Boots & Bling, and Foundation activities during the Kansas State Fair
  • Track event task lists and timelines
  • Coordinate and organize event materials and logistics
  • Support auction coordination and backend processes of fundraising events
  • Document processes for future event cycles

Operations & Systems

  • Assist with maintaining and organizing digital files and shared systems
  • Update, maintain and clean email distribution lists
  • Help organize shared files and internal systems
  • Support tracking of communications and tasks (checklists, timelines, sponsor lists)
  • Identify areas where processes can be improved and implement practical solutions with team collaboration

What We’re Looking For

  • Highly organized and detail-oriented
  • Able to work independently and manage assigned tasks with minimal supervision
  • Thrives in handling routine, recurring tasks
  • Strong written communication skills
  • Comfortable learning new software and digital platforms (and/or prior experience in WordPress, Constant Contact, Google Drive, and Bloomerang)
  • Consistently reliable under pressure during busy event seasons
  • Prior experience in nonprofit, media, education, administrative, or event assistance is preferred but not required

Work Environment

This is a part-time position based in Hutchinson, Kansas. Some evening and weekend hours will be required during event seasons. The position will primarily work in the KFF office, with some opportunities to work remotely at times. 

The Kansas Fairgrounds Foundation is a small, collaborative team, guided by an active board of directors. Together, we are committed to building memorable experiences on the Kansas State Fairgrounds through events, donor engagement, and stewardship of the grounds.
